Billing, Cancellation and Refund Policy

Divinity, LLC · Effective October 15, 2026 · Version 1.0

This policy is part of the Terms of Service for Divinity Behavior Tracker, provided by Divinity, LLC. It states what the service costs, how and when we bill, how to cancel, and when a refund is given. Billing questions: support@mydivinity.net.

1. Plans and prices

Starter: $79 per month per facility, which includes 3 client seats. Each additional client seat is $10 per month. A seat is the capacity to keep one client active in the app at a time; you choose how many seats to buy and can change the number at any time.

Documentation: $249 per month per facility, plus $25 per month for each active client. On this plan Divinity reviews your documentation and helps keep it to state standards. It is arranged through a written order after you contact us, and the order states anything that differs from this policy.

Prices are in US dollars and exclude tax. Where Washington or another applicable sales tax applies to the subscription, it is calculated and shown at checkout and on each invoice.

2. Free trial

A new facility gets 14 days free, with up to 3 clients, and no card is required to start. The trial does not convert to a paid subscription by itself. When the trial ends, access to the app pauses until the facility owner subscribes from the Billing page; nothing is charged until you do. Your records are kept while access is paused and are available for export (see section 7).

3. How billing works

Subscriptions are billed monthly in advance through Stripe, our payment provider. You enter your card in Stripe's checkout; Divinity never sees the card number. At checkout you affirmatively accept that the subscription renews automatically each month at the then-current price until you cancel.

Changing seats. When you add seats part-way through a month, the prorated amount for the rest of that month is charged immediately. When you remove seats, the prorated unused amount is credited against your next invoice. The seat count on your next renewal is the count you hold on that date.

Failed payments. If a renewal payment fails, Stripe retries it and emails the billing contact. Access continues for a grace period of 14 days from the failed payment. If no payment succeeds by then, access pauses until the balance is settled. Records are never withheld to collect a disputed amount: export remains available (section 7).

Price changes. We give at least 30 days' notice by email before a price change takes effect on your next renewal. If you do not want to continue at the new price, cancel before that renewal.

4. Cancellation

The facility owner can cancel at any time from the Billing page, which opens Stripe's customer portal. Cancellation takes effect at the end of the current paid month: you keep access until then, and you are not charged again. Cancelling does not delete your records; see section 7.

We may suspend or end a subscription for a material breach of the Terms of Service, unlawful use or a serious security risk, while preserving lawful access to records and a safe transition.

5. Refunds

Because billing is monthly and you can cancel for the following month at any time, we do not refund partial months, unused seats or unused time after cancellation, except where the law requires it. We do refund a charge made in error, such as a duplicate charge, in full. Ask at support@mydivinity.net within 60 days of the charge; approved refunds go back to the original card within 10 business days.

6. Documentation plan orders

The Documentation plan is arranged by written order. The order states the start date, the client count, any implementation work and anything that varies from this policy. Where the order and this policy differ, the order controls for that facility.

7. Your records after the trial or subscription ends

Your facility's records stay available for export for 30 days after a trial ends without a subscription or after a cancellation takes effect. Within that period the facility owner can request a full export of the facility's records in a usable electronic format at no charge. After that, records are handled under the Business Associate Agreement's return-and-destruction terms. We do not delete records that you have asked us to preserve, and we do not delete records to collect a debt.
